About this app

Company Background:

Phoenix Data Systems, Inc. is the sole manufacturer and developer of the AIMS Computerized Maintenance Management Software (CMMS).

The first version of AIMS was conceived in 1984 and created by Phoenix’ experienced software designers/developers under the auspices of the Michigan Hospital Association with input from thirty healthcare professionals from fourteen Michigan Hospitals.

Today, Phoenix Data Systems, Inc. is recognized as the leading CMMS provider for managing assets, facilities, and maintenance operations for hospitals in the Clinical Engineering/Biomedical Engineering and Plant Engineering/Facilities Maintenance Departments.

Software Overview:

AIMS is a full-feature Work Order Management System that tracks all work requests from Preventative Maintenance requests to repairs for in-house, contract, and non-contract labor and materials. Users can quickly create and dispatch Work Orders. Technicians can apply labor, materials, and notes to Work Orders.

AIMS is a scalable software application that allows users to access their data via a web-browser or mobile device from anywhere in the world. The software is designed with nine base components and thirty-two (32) optional components and interfaces to address the various equipment maintenance issues facing managers today. This design allows each customer to select the components and interfaces that meet their present needs, while providing the opportunity to add remaining components as their needs expand.

AIMS customers vary in size from small 10 bed hospitals to large hospital systems with more than 10,000 beds. Independent Service Organizations (ISOs) use AIMS to service clinics, outpatient facilities and specific types of equipment in hospitals.

AIMS is presently used by more than 25,000 technicians in 3,000 hospitals. More than 70,000 Work Orders flow through AIMS every day, with over 5 million medical devices and hospital equipment are under AIMS management.

AIMS Mobile Overview:

AIMS Mobile is an integrated application which allows technicians to gain access to AIMS data in real-time via an Android phone or tablet. Technicians in the field use AIMS Mobile to complete medical equipment repairs and record all aspects of those repairs on Work Orders. If Wi-Fi is unavailable, users can go offline with no data loss. When Wi-Fi is available, the work completed can be imported directly into their AIMS database. The app also includes a mapping locator feature that allows the Work Order Dispatcher to view the location of technicians in the field in order to assign urgent work to the employee closest to the location where the work needs to be performed.

AIMS Mobile Major Features and Functions:

• Create, update, and close Work Orders real-time in the field
• Add new equipment, change tag numbers, inventory equipment
• Access equipment service history, part inventories, warranty and contract information and maintenance schedules
• Work offline, if needed, and sync when Wi-Fi is available with no data loss
• Submit purchase requests
• Incorporate smartphone features to streamline processes, such as the use of the microphone, camera and GPS
• Utilizes the storage on the device up to the maximum space available
• Caches offline data separately from the web browser with no data loss ever
• Use bar code scanning to pull up a Work Order, asset or part by scanning its barcode to create new maintenance requests, update Work Orders and look up equipment history
• Dictate notes in any text field such as the Problem or Action field of Work Orders
• Use the built in camera to upload asset images, diagrams or PDFs to Work Orders
• Use Push Notifications so that the technician will receive a real-time notification when a new Work Order has been assigned
